Before connecting your sales system to MYOB
By TechBooks Solutions · Updated
Agree on the records, accounting rules and failure handling before choosing an integration approach.
Identify the systems precisely
Record the exact MYOB product and edition, sales platform and business file. Confirm who can grant access. Similar product names do not imply identical integration capabilities; feasibility is a discovery task.
Choose the source of truth
For customers, products, prices and invoices, decide which system owns each field. Define whether data travels one way or both ways. Agree the event that creates an invoice: an order being placed, approved, fulfilled or paid.
Have your finance team approve the mapping
Prepare sample transactions including GST, freight, discounts and rounding. Where relevant, include refunds, credit notes and partial payments. Your finance team should approve posting rules and reconciliation expectations before records are written to production.
Design the exception path
Define what happens when a customer is missing, a tax code is invalid or a request times out. Require a stable source identifier, a processing record and safe retries. Staff need to distinguish a failed record from an uncertain outcome before replaying it.
Start with a controlled pilot
Reconcile a representative set of records. Document how to pause the integration and recover from failure. Expand only after acceptance checks pass. Inventory, historical migration and two-way updates should each be deliberate additions.
